Hiring an AI consultant is hard to judge from the outside, so we try to remove as much of the risk as we can before you spend anything meaningful.

  • Scope and price agreed before work starts. No open ended hourly billing that grows quietly.
  • The assessment fee comes off the build. If you proceed, what you paid for the plan is credited.
  • Success measures set in advance. We agree what good looks like before building, then report against it.
  • You own what we deliver. Accounts, data, and configuration stay in systems you control.
  • Month to month support. No multi year contracts. If it stops earning its keep, you stop.
  • We will tell you when not to use AI. Some problems are process problems, and saying so costs us a sale but saves you a budget.

What does an engagement cost?

It depends on scope, which is exactly why we quote a fixed fee after the free consultation rather than publishing a number that would not apply to you. Small business automation typically starts with a short assessment and a single workflow, which is a modest commitment. Healthcare and enterprise work is scoped as a project with a defined deliverable. You will have the price in writing before anything begins.

Can we start small?

Yes, and we prefer it. One workflow, measured, is a much better test than a large programme built on assumptions. If the first piece works, expanding is straightforward. If it does not, you have lost very little.

Do you build everything from scratch?

No, and you should be cautious of anyone who says they do. For most small business automation, established platforms already handle calls, scheduling, messaging, and follow ups reliably. Our work is choosing the right ones, configuring them around your business, and connecting them properly. Custom software is for cases where configuration genuinely will not do the job.

What happens to our data?

Data handling, access, retention, and where information is stored are reviewed and documented for each project before any sensitive information is involved. Accounts and data stay under your control. For health information there are additional requirements around residency and formal agreements, and those are settled during planning rather than afterward.

Will this work with the systems we already use?

Usually, though it is one of the first things we check rather than assume. Some practice management and industry systems have good integration options, some have limited ones, and a few have none at all. Where a direct connection is not possible we look at workable alternatives, and if there is no sensible path we will tell you during the assessment rather than after you have paid for a build.

How quickly can something be running?

Small business automation such as call handling, booking, or follow ups can usually be live within a couple of weeks of the assessment. Healthcare and enterprise work takes longer because privacy review, integration, and evaluation are part of doing it properly.

What if AI is not the right answer?

Then we will say so. A fair number of problems that look like AI problems are process or staffing problems, and automating a broken process just makes it fail faster. Being told that in a free consultation is a better outcome for you than discovering it after a build.

Where are you based and do you work remotely?

We work with clients in Toronto and Edmonton, and remotely across Canada. EvidenceMind AI Inc. is a Canadian company incorporated in Alberta. Most of the work is done remotely regardless of location, with on site time where it genuinely helps. Clients elsewhere in Canada and internationally are welcome, subject to the usual privacy and data residency considerations.
